Job Responsibility: Warehouse Incharge

1.   General Instructions:

1.1.      Each individual shall undertake the said duties but has to work along with the team in order to assume collective responsibilities. Individual adventurism of any sort is not encouraged.
1.2.      Any deviation observed during discharge of official duties is to be reported to the superiors immediately.
1.3.      Any person working in shifts has the additional responsibility of briefing the personnel working in the next shift about the work done and that to be undertaken subsequently.
1.4.      Addition or deprivation of duties and responsibilities shall depend on the performance of the individual.

2.   Duties/Responsibilities:

2.1.      Ensure that the storage of finished Product is as per the specifications/label instruction.  The “first expired/first out” (FEFO) principle is followed.
2.2.      Ensure that the record of storage conditions of the finished product is maintained and data is available for review. All monitoring records are kept as required by national legislation.
2.3.      Ensure that entry to the warehouse area is restricted.
2.4.      Ensure that on delivery, the goods received are checked as per the laid down procedure and comprehensive records maintained showing all receipts and issue of materials according to laid down system (batch numbering for tractability).
2.5.      Ensure that separate storage area is provided for quarantined material. Separate area is assigned for sampling of the materials.
2.6.      Ensure that separate storage area is maintained for highly active and radioactive materials, narcotics, other dangerous drugs, and substances presenting special risks of abuse, fire or explosion.
2.7.      Ensure that materials and final products are handled and stored in such a manner as to prevent contamination, mix-ups and cross-contamination. Segregation should be provided for the storage of rejected, recalled, or returned materials or products.
2.8.      Ensure that all containers should be clearly labelled with at least the name of the material, the batch number, the expiry date or retest date, the specified storage conditions and reference to the pharmacopoeia, where applicable.
2.9.      Ensure that all materials should be stored in conditions which assure that their quality is maintained, and stock should be appropriately rotated. The “first expired/first out” (FEFO) principle should be followed.
2.10.   Ensure that periodic stock reconciliation is performed by comparing the actual and recorded stocks.
2.11.   Ensure that rejected materials and pharmaceutical products are identified and controlled under a quarantine system designed to prevent their use until a final decision is taken on their fate.
2.12.   Ensure that a separate area is provided for weighing and dispensing of the materials. The record of weighing and dispensing shall be maintained as per the laid down procedure (batch numbering system).
2.13.   Ensure that the return goods are stored in quarantine handled in accordance with approved procedures and records are maintained.
2.14.   Ensure that materials and final products are transported in such a way that their integrity is not impaired and that storage conditions are maintained. Ensure that the laid down procedure is followed and records maintained.
2.15.   Ensure that special attention is paid to printing and packaging material, their sampling and storage. Records of their use are maintained.
2.16.   Ensure that storage areas are clean, and free from accumulated waste and vermin. Written programme for cleaning, sanitation and pest control are followed.
2.17.   Ensure that written instructions and records should be available which document all activities in the storage areas including the handling of expired stock.
2.18.   Ensure that written instructions adequately describe the storage procedures and define the route of materials/final products and information through the organization in the event of a product recall being required.
2.19.   Ensure that delivery order is received and material dispatched as per the delivery order. The receipt of the delivery order and the dispatch of the goods must be documented.
2.20.   Ensure that records for dispatch are retained as per the laid down policy.
2.21.   Shall ensure that recall procedure is defined and understood to ensure prompt and effective recall.
2.22.   To ensure that all the equipments and instruments used in warehouse are qualified and calibrates as per the laid down criteria.
2.23.   To be a part of self-inspection and quality audit team.
2.24.   To access training needs of animal house staff. To impart or arrange for all the trainings needed by animal house staff.
2.25.   Assign job responsibilities to animal house staff.
2.26.   Undertake other duties as determined by superiors.

3.   Authorities:

3.1.      Authorize receipt, inspection and issue of material.
3.2.      Quarantine / reject materials based on the non-conformation after due approval.
3.3.      Authorize issue / dispensing of materials as per approved procedures and bill of material.
3.4.      Authorize dispatch of finished product as per marketing schedule

4.   Reporting:

4.1.      Report to plant head/ factory manager all the daily activities and plans.
